Let’s continue on with our organization theme. This time, we’re going to focus on document organization or managing our documents. OneNote can be a great tool for organizing and tracking your documents, whether they’re located locally, on external drives or OneDrive. Below are the step-by-step instructions for using OneNote for document management.

Setting up the Document Management Section or Page

Before you begin, you need to determine where you are going to house the document management listing. You can list it within a page of a OneNote section you already have. Or, you can create a new section and page for it. For these instructions, we are going to create a new section and page. EXAMPLE:

  • Create a section called Document Management.
  • Type the appropriate title for your Document Management in the newly created untitled page.
Creating Links to Documents and Directories
  1. Navigate to the Section and Page that will contain your links.
  2. If you are including headings, type the heading for your first list of links.
  3. Right-click where you want the first link added and select Link.
  4. The Linkdialog box will open.
  5. To add a Document Link
    • Click on the folderto the right of the Addressblank and navigate to the appropriate file (a).
    • Highlight the file and click OK. The file link is added to the Addressbox (b).
    • Edit the Text to display box to include the text as you want it to appear in the Document Management Listing (c).
    • Press OKto add the newly created link to your page.
  6. To add a Directory
    1. Type the directory path in the Addressblank (a).
    2. Edit the Text to display box to include the text as you want it to appear in the Document Management Listing (b).
    3. Press OKto add the newly created link to your page.
  7. Place the cursor where you want the next heading or link to appear and continue with the steps above until you have completed your page.
Editing Links

If your document or directory path changes, you can easily update the information.

  1. Right-click on the link you need to update.
  2. Click Edit Link.
  3. Update the Text to display or Addressas needed.
  4. Once updated, click OK.

As you can see for the steps above, it is very easy to use OneNote for Document Management.
